“Fexa has a very unique ability to design their system to best suit your needs. It’s customizable, user-friendly, and the team on the back-end is very hands-on. They want to know your problems and how they can best address the things that are driving you to change the CMMS program. They will make sure that your hand is held the entire way. Thank you. We’re very pleased, and we have no plans of changing.”
“I think the best thing about working with Fexa is just the people that they have. They’re so invested in your success, that just makes you successful almost from the get-go. It’s hard to fail when you have that kind of support.”
-Jason Miller, Construction & Facility Manager, Buckle
“We needed a software that can grow with us, expand with us, and meet all of our needs. (…) It’s made us more efficient as a company. We were able to automate a lot of our processes, workflows, help us better manage our vendors, invoicing service techs, which allowed us to grow.”
“What I love about Fexa is that it saves us time … Going into purchase orders and invoicing, it cuts down the time way more than we were doing it with our old system and we are way more efficient because of that. I know it would help anybody else who’s in the same style of business.”
-Brandon McGavitt
Repairs and Enhancements Coordinator, 84 Lumber
Women's Loungewear Retailer
This global leader in women’s loungewear and beauty products had 858 stores across the US at the time that they chose Fexa CMMS to address significant operational challenges. They were using a manual maintenance system that created an average annual R&M spend of $52,000 per store! This was in part because of communication issues between store teams and maintenance personnel and inefficient preventive maintenance protocols.
After implementing the Fexa CMMS solution, this leading retailer achieved outstanding results. They reduced their maintenance costs by an impressive 11.% per store, which meant over $4 million in savings on annual R&M expenses!
They did this through:
- Streamlined vendor management by integrating with Fexa’s API
- Automating the preventive maintenance schedule
- Accessing real-time visibility into maintenance spending for more data-informed decisions

Casual Apparel Retailer
As a national leader in casual apparel, this store had over 450 locations when they came to Fexa. These locations were struggling with uncontrolled spending, aging infrastructure, and an inefficient approach to work order management. They were using two legacy systems for work orders and accounting, which created a disconnect between the two teams that should have been on the same page.
Of the 7,000 annual work orders submitted within the organization, many were redundant and/or unnecessary.
The retailer used Fexa to implement a call avoidance strategy, which delivered immediate impact. They saw $394,084 in savings by eliminating 484 work orders and avoiding 358 invoices. That’s a 7% decrease in work order volume, all because of unnecessary calls.
This solution also led to improved operational efficiency across departments. Store managers received clear guidance on how to handle service requests, and facilities managers focused on high-priority issues. The finance team was able to get automated accounting reports, while the construction side of the business was able to make data-informed decisions for the first time.
Key Results:
- $393,084 in call avoidance savings
- 484 work orders avoided (7% of total work order volume)
- 358 invoices avoided
- Reduced software costs by replacing the legacy systems
- Improved operational efficiency across departments
- Better visibility into facilities data for informed decision-making
- Eliminated manual processes and reduced errors
National Grocery Chain
A rapidly growing grocery chain needed a comprehensive facilities management solution for their diverse fleet of locations, from manufacturing to assembly to retail. They also needed specific requirements for granular asset management and automated invoice processing across different trades and location types.
Before working with Fexa CMMS, the chain struggled with inflexible facilities management solutions that forced them to process all invoices using a single template and workflow. This system disregarded important information like vendor type and location details. After implementing Fexa's highly adaptable smart workflow capabilities? They were able to stratify vendors into classes based on complexity levels and automate unique invoice requirements for each category. The results were transformative!
Fexa allowed the grocery chain to successfully streamline its vendor and asset management processes. This reduced downtime for revenue-generating assets and improved preventative maintenance operations. Invoice processing time was reduced by 20-30%, thanks to the elimination of problematic communication breakdowns between accounting, facilities, and vendors.
Consider this: the company now closes accounting books for facilities and equipment expenses in hours, rather than days!
Key Results:
- Streamlined vendor and asset management processes
- 20-30% reduction in invoice processing time
- Ability to close accounting books in hours versus days
- Improved uptime for key revenue-generating assets
- Optimized preventive maintenance programs
- Enhanced data capture for facilities and engineering teams
- Eliminated wasted time in communications between departments
Crate & Barrel
When Crate & Barrel acquired Hudson Grace in 2019, their facilities management team was facing some pretty big challenges. They needed to integrate the newly acquired locations and budgets into their operations without adding incremental headcount. Making things even trickier, Hudson Grace had no existing facilities management software system. Instead, they relied mostly on spreadsheets and company "Yellow Pages" for vendor dispatch. Something had to change.
Keep in mind that the unique nature of the newly acquired brand meant store footprints were considerably different between the two. They would require significant reconfiguration to accommodate more expansive "back of store" warehouse functions for e-commerce fulfillment.
Fexa provided a customized solution that created custom workflows to accommodate the new store variations. Fexa CMMS allowed Crate & Barrel to reconfigure stores, develop custom fields for the accounting team to track the integration, and automate many manual processes.
Key Results:
- Successful integration of acquired locations without adding headcount
- Custom workflows to accommodate new store variations
- Multi-vendor project capabilities for store reconfigurations
- Strategic custom fields for tracking integration efforts against budget
- Automated weekly reporting exports
- Video training for new store managers
- Streamlined vendor onboarding with mobile app integration

Eyemart Express
Eyemart Express became a Fexa client in 2018. Since then, the optical retail company has used the platform to improve its operations and optimize its monthly service expenditures. Fexa CMMS has provided the foundation for an outstanding approach to facilities management, spread across multiple locations.
Here’s what an Eyemart Express leader has to say: “The system is very user-friendly, although there’s a lot to navigate and interact with. Whenever I hit an obstacle, a quick help desk ticket to the team is usually responded to within a few hours and resolved within less than a day. I really appreciate that as it helps me keep momentum on certain projects and learn new things and capabilities.”
One of the things Eyemart Express loves most about Fexa is the company’s exceptional customer support. Most technical issues are addressed within hours and completely resolved in less than a day. Such a fast response time means that Eyemart Express never loses momentum on projects while waiting for FMS or CMMS updates.
Key Results:
- Optimized management of monthly service expenses
- Intuitive interface that simplifies complex facility management tasks
- Quick resolution of support issues, typically within 24 hours
- Tailored system configuration matching specific operational requirements
- Uninterrupted project progress through swift issue remediation
- Continuous discovery of new platform capabilities

McCoy's Building Supply
McCoy's Building Supply is a rapidly growing retail building supplier with full-service lumber yards in 5 states. They needed a flexible facilities management solution to manage diverse asset types—from their fleet of delivery vehicles requiring DOT compliance tracking to HVAC systems, forklifts, shelving, and even parking lot striping integrity.
Fexa is fully customizable, which is a big part of why McCoy’s chose the Fexa CMMS as part of their approach to facilities management software. Thanks to Fexa, McCoy's achieved significant capital and expense-related savings across their broad range of assets.
Implementation included custom workflows for each asset class, strategic custom fields for DOT-compliant management of their truck fleet, and automated weekly reporting exports to appropriate teams across facilities management, construction, accounting, and procurement.
"One of the things Fexa did really well for us at McCoy's is the configurability of asset attributes. Prior to Fexa, when we were setting up assets in other systems, you could set up an asset with custom fields but you had to have the same fields across the board for every piece of equipment. The flexibility of Fexa by asset class was a huge differentiator for us," explains Chet Lange, Director of Store Development Fleet, & Facilities at McCoy's.
Key Results:
- Significant capital and expense-related savings across diverse assets
- Custom workflows tailored to each unique asset class
- Strategic custom fields for DOT-compliant fleet management
- Automated weekly reporting to cross-functional teams
- Ability to track compliance requirements by asset type
- Enhanced procurement negotiations through data leverage
- Effective management of multi-vendor, multi-trade projects
