Know Exactly What Rules Apply to Every HVAC/R Asset

Trakref’s new feature simplifies the complex world of HVAC/R compliance. Now, with the Regulatory Mapping Engine, you’ll instantly know which federal and state regulations apply to every asset in your portfolio—no guesswork required.

Regulations Are Getting Harder to Track. This Makes It Easier.

HVAC/R compliance isn’t a new challenge—but it’s getting harder. Regulations like the EPA’s Emissions Reduction and Reclamation rule (AIM Act, Subsection H), and state-level rules from California, Washington, and New York are constantly evolving, each with their own criteria and thresholds.

If you’re managing hundreds—or thousands—of systems across multiple states, it’s easy to lose sight of what applies where. That’s risky. Because when an issue occurs, or a rule changes, being unprepared means potential fines, reactive fixes, administrative headaches, and costly audits.

That’s why we built the Regulatory Mapping Engine.

It’s a feature inside Trakref that does the heavy lifting for you. It evaluates every HVAC/R asset in your inventory and dynamically assigns tags that show which regulations apply—based on actual system attributes.

You get a clear, at-a-glance view of your compliance exposure. And you can trust that it's accurate, automated, and always up to date.

Tags appear directly on the asset record, giving field teams instant clarity on which regulations apply.

The Data Points Behind Every Tag

The Regulatory Mapping Engine works like a regulatory compass for your HVAC/R assets.

Every asset is assessed based on key attributes that are already tracked in Trakref:

  • Location – What state is the asset in?
  • Asset type – Refrigeration, comfort cooling, or process cooling?
  • Charge capacity – Is it 15 lbs? 100 lbs? 1,300 lbs?
  • Refrigerant type – R-410A, R-123, R-116?
  • GWP (Global Warming Potential) – Based on AR4, AR5, or AR6?

Once those values are in the system, Trakref’s rules engine takes over. It cross-references the asset against the eligibility criteria defined by regulatory agencies. Then, it automatically assigns a tag—or multiple tags, in the case of overlapping regulations—indicating which rules are in play.

Examples in action:

  • A refrigeration unit in California, charged with 300 lbs of refrigerant with a GWP over 150? You’ll see a CA CARB tag.
  • A system in Florida with a 20 lb charge of a regulated HFC? That’ll earn an EPA AIM Act tag.
  • An asset in New York that qualifies under state-specific rules? You’ll see NY DEC.

And if more than one regulation applies? The system shows all applicable tags, ensuring you see the full picture.

The Asset Inventory view shows tags at the individual asset level, making it easy to see which regulations apply and where data may be missing. Use filters to sort by location, charge capacity, or regulation.

From Hidden Risk to Real-Time Insight

This feature saves time, improves visibility to regulatory exposure, and gives your team actionable insights. But more importantly, it shifts compliance from a reactive headache to a proactive advantage.

Here’s what that means in practice:

Know Your Regulatory Exposure—In Seconds

Until now, knowing what regulations apply to which assets required digging through spreadsheets, cross-checking rulebooks, or relying on esoteric knowledge. Now, it’s right there in front of you. Whether you’re managing a single store or a multi-state network of 1,000 locations, you can get a real-time readout of your compliance posture.

Eliminate Guesswork

Manual interpretations of refrigerant rules often lead to inconsistent outcomes. Different team members might apply different standards. That creates gaps and errors. The Regulatory Mapping Engine removes the ambiguity. It applies standardized rules across your portfolio—accurately, consistently, and automatically.

Prepare for the AIM Act—Now, Not Later

Enforcement of the EPA AIM Act’s Subsection H begins January 1, 2026. That’s less than a year away. And it’s going to impact systems that haven’t been regulated in the past. The Regulatory Mapping Engine is already configured to identify which of your assets will be covered under the new rules—so you can start preparing today instead of scrambling later.

Built-In Intelligence That Stays Up to Date

The Regulatory Mapping Engine is built on Trakref’s ability to capture the critical data points that matter in a regulatory context. It ingests the details you’ve already recorded—location, charge size, material type, etc.—and uses those values to run each asset through a decision matrix.

That logic aligns with rule-specific thresholds. If your asset qualifies, a tag is applied. If it doesn’t, no tag appears. And if any data is missing or incomplete, Trakref won’t make assumptions—it’ll simply leave the asset untagged until the data is complete.

What makes it especially powerful is that it’s dynamic. If you update an asset—say, after a retrofit or reclassification—Trakref automatically re-evaluates and updates the tag. You don’t need to remember to rerun a report or reassign a regulation manually.

Built-In Visibility Across Every View

Tags are designed to be visible in multiple places across the Trakref platform:

  • On individual asset records – So field teams can quickly understand the regulatory context.
  • In the asset inventory view – Making it easy to filter, sort, and analyze by regulation.
  • In dashboards and reports – So managers can spot trends, assess exposure, and prepare for audits.

One particularly useful view is the compliance summary bar chart, where you can hover over each bar to see the number of assets that fall under each regulation. You can drill down further to see which assets are impacted, or expand a table to view details and take action.

The Compliance Center aggregates all tagged assets by regulation, giving you a clear, real-time view of what rules apply and where. Hover to see asset counts by tag and click to drill into the details.

Operational Clarity for Everyone Involved

The Regulatory Mapping Engine doesn’t just make regulatory tracking easier—it changes the nature of how teams interact with compliance overall.

  • For technicians: It clarifies what standards they’re working under for each job, without needing a detailed regulatory review.
  • For compliance officers: It shows where gaps exist and where data needs attention.
  • For sustainability leaders: It connects refrigerant data directly to emissions insights and ESG reporting.
  • For facilities managers: It gives peace of mind—and fewer surprises during inspections or audits.

Built for the Complexity Ahead

At Trakref, we believe compliance should be manageable, not mysterious.

The regulatory landscape isn’t going to get simpler. In fact, it’s likely to become even more fragmented over the next few years. But with features like the Regulatory Mapping Engine, you’ll be equipped to face that complexity with confidence.

This is about more than tracking—it’s about visibility, management, preparedness, and trust. And it’s available to all Trakref customers today.

If you’re not yet using Trakref—or if your current process for compliance tracking involves spreadsheets, sticky notes, or guesswork—this might be the time to take a closer look.

This is live today in the Trakref compliance center for all customers, visit v4.trakref.com to see this in action.
